What gate management software actually does
Gate management software is the system that controls and records movement through a society's entry and exit points. It answers four questions for every arrival: who is this person, which flat are they going to, did somebody there agree to let them in, and when did they leave. A paper register captures the first question badly and the other three not at all.
In an Indian housing society the gate is not a reception desk. It handles guests, food and e-commerce deliveries, domestic help arriving twice a day, plumbers and electricians sent by the committee, cab drivers, packers and movers, and resident vehicles — often at the same time, often in three languages, often with one guard on duty. How the DGate gate management system works
There are three surfaces and they stay in sync. On the guard app, the default screen is the QR scanner: a valid pass turns green and the guard waves the visitor through. If there is no pass, the guard taps 'walk-in', photographs the visitor, picks the flat, and the request goes out.
On the resident app, that request arrives as a push notification with the photo and the stated purpose. Approve or reject takes one tap, and it works whether the resident is in the flat or at work in another city. The guard sees the decision immediately, so there is no phone call and no argument at the barrier.
On the admin console, the committee sees the whole picture: entries by date, by flat, by visitor type, by guard on duty. Exports go to the security agency or into the minutes of a committee meeting. Nothing depends on somebody remembering what happened.

Gate management system versus a visitor register
The honest case for replacing the register is not that paper is old-fashioned. It is that paper cannot be searched, cannot be verified, and cannot be used as evidence.
When a society has an incident — a theft, a dispute with a delivery agent, an unauthorised subletting — the committee goes to the register and finds an illegible name, no phone number, no photo, and no record of who let the person in. Six months of entries sit in a book that nobody can query. With gate management software the same question takes about thirty seconds to answer, and the answer includes a photograph.
The second difference is accountability in both directions. A digital record protects the guard as much as the committee, because an approval that a resident gave is attributed to that resident rather than argued about later.

The pattern we see is consistent: guards are comfortable within a day or two because the app does less than the register did. Residents take two to three weeks, and the switch happens the first time somebody approves a delivery from their office desk instead of getting a phone call in a meeting.
The committee usually sees the value later, at the first monthly review, when a question that used to be unanswerable now has a report behind it. Plan for a rollout, not a launch: one training session for the guard team, a notice to residents, and a fortnight of running both systems if that makes the security agency comfortable.

Larger projects have complications that a single-gate society never hits. Service gates that only handle deliveries. Separate towers with separate committees under one apex body. Clubhouse entrances. Contractor movement during a phase that is still under construction.

Common questions
What is the difference between gate management software and a visitor management system?
In practice they overlap. Visitor management focuses on guests and their approvals; gate management is the wider term, covering vehicles, staff, deliveries, exits, and multiple gates as well. DGate covers both, so societies searching for either term land on the same product.
Do guards need a special device or scanner?
No. The guard app runs on an ordinary Android phone and uses its camera to scan QR passes and photograph walk-ins. Societies that prefer a fixed device at the booth can use a cheap tablet, but it is not required.
Can the gate management system work with our existing security agency?
Yes, and most societies keep their agency. The guards continue to be employed and supervised by the agency; DGate only changes what they record and how. Agency supervisors can be given a login to review their own team's entries.
Does gate management software work when the internet at the gate is slow?
